Title: Director of Enrollment and Marketing                  FLSA: Exempt


GENERAL SUMMARY

·         The Director of Enrollment and Marketing is primarily responsible for attracting students to Sacred Heart Schools in order to maintain a stable environment.

·         This position plays a critical role in supporting Sacred Heart Schools, its mission, vision and leadership.

 Principle Duties and Responsibilities

§  Participates in activities that help build a faith community on campus.

§  Design and implement a comprehensive centralized strategic plan of enrollment for new students at Sacred Heart Schools, which includes Sacred Heart Academy, Sacred Heart Model School, Sacred Heart Preschool and Sacred Heart School for the Arts

§  Oversee the daily activities of the Enrollment and Marketing team, which includes directing the enrollment process from point of inquiry through enrollment, and coordinating associated marketing needs

§  Supervise and manage the Enrollment and Marketing staff

§  Develop and coordinate the enrollment and marketing budget and appropriate promotional/marketing materials, such as audio/visual, mailings, web pages, social media activities and publications that present SHS to prospective stakeholders including prospective students and their families, educational institutions, referring organizations and/or individuals, members of the Sacred Heart Schools and the community

§  Create a strategic admission plan including a revolving short term (6-month to one year) and long term (one to three year) strategic plan with trending and forecasting methodology

§  Initiate and create activities intended to interest parents and potential supporters in sending students to Sacred Heart Schools

§  Promote good relationships and create networking opportunities and support for representatives with outside institutions or groups (schools, the Archdiocese of Louisville, etc.) that can be helpful in attracting quality students

§  Organize and administer the program for scholarships and financial aid

§  Evaluate continually and redesign where appropriate all aspects of the enrollment program with the goal of maintaining a capacity enrollment of qualified students and a wait-list of qualified applicants

§  Manage the re-enrollment of current and transfer students for the succeeding year with constant monitoring of attrition and retention

§  Oversee the network of parents, former parents and alumni to assist in the recruitment program

§  Keep relevant statistics on all aspects of the enrollment and re-enrollment program

§  Represent the school at various gatherings and conferences related to enrollment

§  Support all initiatives within Institutional Advancement

§  Perform other duties as assigned

Knowledge, Skills and Abilities Required

§  Bachelor’s Degree in marketing, communications, education administration or related field or field experience

§  Three years of enrollment experience in education preferred

§  Strong oral and written communication skills, analytical skills, and the ability to develop, interpret, summarize and present complex data to diverse constituencies.
Proficient in Microsoft Office Suite products (Word, Excel, Outlook and Power Point)

§  Keen organizational/project management skills, be extraordinarily oriented to detail, and be able to work productively with campus staff and other Sacred Heart Schools’ stakeholders.

 Working Conditions

§  Year-round position with evenings and weekends as needed

·         The Associate Directors of Enrollment and Marketing report to the Director of Enrollment and works closely with Director of Communication, individual school principals/school administrators and members of the Institutional Advancement team.

The Director of Development for the College of Education and Human Development reports directly to the Associate Vice President for Development and coordinates with Vice President for University Advancement and the Associate Vice President for Development and the Dean of the College of Education and Human Development. This position serves as a giving officer position and will be a part of an established development team.  The position will meet or exceed annual goals as defined each year in a personal assessment score card.  All job functions are performed with a high degree of professionalism, including responsibility, initiative, creativity, dependability, human relations, cooperation, courtesy, and in compliance with Affirmative Action guidelines.

Serving as a giving officer for the College of Education and Human Development, meet or exceed annual goals as defined each year in a personal assessment score card. Individual goals for each of the following areas and other criteria will be established annually: management of a portfolio of prospects, responsibility for soliciting and closing major gifts and annual gifts, making face-to-face visits with prospects/donors, executing actions/contacts and recording all visits and contacts within the Advance database, referring prospects to colleagues and identifying prospects.

TRANSYLVANIA UNIVERSITY
Prospect Research Coordinator

Individual needed to coordinate research and collaboratively support the fundraising efforts of the University.  Individual selected will manage prospect and donor research, prepare capacity/affinity reports, evaluate prospects, and assist with prospect movement through the process from qualification to cultivation, solicitation, and stewardship; work with Vice President, and  Associate VP for Advancement  along with  Major Gift Officers to manage the prospect management system and database to assure all prospects are current and properly coded;, provide new leads through database mining, and assist in the evaluation and prioritization of prospects.  Also reviews and conducts in-depth research on individuals, corporations, and foundations using a wide variety of original source material including public documents, legal records, periodicals, computer databases, professional organizations, professional contacts and the Internet.  This position will require training on, and mastery of, the Datatel software system as well as DROA reporting and gift entry screens/process.  Prior knowledge of these systems preferred.

The minimum qualifications for the position are a bachelor’s degree and two years of closely related experience or an equivalent combination of education and experience.  The successful candidate must have the ability to analyze, interpret, synthesize, and present complex information effectively; ability to design and implement data-mining initiatives to identify and/or stratify potential major gift prospects; solid judgment, sensitivity, and discretion in handling confidential information and situations; proven experience and proficiency in the use of computer applications and databases.

The Director of Development - Planned Giving reports directly to, and works closely with, the Senior Philanthropic Planning Officer.  This position supports the work and advancement of the Office of Planned Giving through the cultivation and solicitation of individuals for planned gifts, planned gift presentations to prospects, donors, staff, volunteers and others in coordination with the unit development officers, Associate Vice President for Development, Vice President for University Advancement and deans of the colleges and schools. 

This position requires expertise in estate and tax laws, state and federal regulations related to charitable giving, a high level of energy, creativity and initiative; demonstrated success in constituency development and/or customer relationship management; excellent communication skills with an ability to write and speak persuasively about the role of philanthropy and its impact on education and research, and understand research and teaching mission with a vision for the role of philanthropic development. Some night and weekend work and travel are required.

Responsibilities:
- Plan and coordinate major gift and estate planning programs to promote planned giving to UofL by its alumni, faculty and friends; complete gifts involving such matters as unitrusts, annuity trusts, bequests, and insurance contracts.  Prepare University development proposals and present development projects to prospects for planned and outright gifts.
- Develop and maintain personal contact with a portfolio of prospects for planned gifts and provide information concerning gift utilization; coordinate activities with prospect’s attorney and/or financial advisor to determine the most appropriate method of planned giving and ensure necessary arrangements for collection of gifts
- Coordinate planned giving with University administration to ensure compliance with governmental regulations and University and/or investment policies. 
- Coordinate with alumni and other UofL groups in the development of programs to promote and explain fund raising activities and the various methods of estate planning and deferred giving.
- Assist with the development of marketing strategies for planned gifts for implementation. Prepare and distribute brochures and printed material outlining methods of planned giving.
- Assist professional schools and central development officers with the development of planned giving strategies for the respective school or area.
- Assist professional schools and central development officers with gifts of tangible personal property and gifts of real estate.
- Assist in the review and evaluation of proposed policies and procedures; make recommendations for improvements in the planned giving program. Perform other related duties as assigned.

 Job Responsibilities

 Reporting to the Director of Foundation Relations, the Corporate & Foundation Relations (CFR) Coordinator is primarily responsible for supporting department operations for the Corporate & Foundation Relations Department in the Office of Development. The CFR Coordinator assists in coordinating all department activities including extensive writing, communications, research and administrative support. The CFR Coordinator also may maintain as small portfolio of corporate and foundation prospects.

 

1.       Writing & Communications- The CFR Coordinator will assist in preparation and submission of compelling and professional Letters of Inquiry (LOIs), proposals, concept papers, reports and other materials. The CFR Coordinator will also liase with development communications staff to continually update and improve the CFR website, and develop a variety of internal electronic communications vehicles.

 

2.       Research- The CFR Coordinator will conduct substantial prospect research working to both identify corporate and foundation prospects, as well as conducting in-depth research on existing prospects. The CFR Coordinator will assist in compiling, analyzing and synthesizing research on prospects for customized profiles and briefings.

 

3.       Coordinating and tracking proposal/reporting pipeline- The CFR Coordinator will coordinate and track the pipeline of all pending, submitted and funded proposals and related materials. This includes maintaining electronic and paper records of proposals and reports, and creating and updating a deadline-driven calendar of all activities related to corporate and foundation giving, and assisting with reporting.  The CFR coordinator will help compile supporting materials for proposals and maintain updated electronic records of official documents.

 

4.       Donor contact and stewardship- The CFR Coordinator will have substantial contact with corporate and foundation donors and prospects.  This will entail communicating with donors on behalf of the CFR Staff by phone and email, sitting in on meetings and calls, and the coordinator may maintain a small portfolio of prospects. This requires excellent verbal communications skills, a professional manner, and a commitment to excellent customer service.

 

5.      Administrative Support- The CFR Coordinator will provide administrative support to the CFR Staff including maintaining donor files, answering phones, scheduling and maintaining staff calendars, maintaining database records, and coordinating with other administrative support staff to ensure travel arrangements, expense reports and other tasks are completed in a timely fashion.

 

6.      Other duties as assigned

 

Education and Experience

The successful candidate will have a Bachelor’s degree and 2-4 years of professional experience, preferably with research and proposal writing experience. This individual must also be organized and meticulous; and pay attention to detail. This individual must be a team player, possess good decision making abilities, and must be able to work independently on core areas of responsibility. Some travel may be required.

 Western Kentucky University, Office of Development, seeks an experienced, externally oriented Director of Development to further shape our organization.   The selected candidate will report to the Assistant Vice President of and will work closely with the College Dean, serving as the primary liaison. 

 Primary Duties and Responsibilities:

  • Identifies, cultivates and solicits major gifts
